How Terra Industries LLC collects, uses, and protects your information.

Terra Industries LLC does not sell, rent, or share your data with third-party advertisers, data brokers, or analytics platforms. All data collected through TerraTracs remains within our secure central database and is used exclusively to operate the service for your organization.

1 Introduction

Terra Industries LLC ("we," "us," or "our") operates the TerraTracs fleet and farm management platform ("App"). This Privacy Policy explains what personal and operational data we collect, how we use it, who can access it, and how we protect it.

This policy applies to all users of TerraTracs, including employees, fleet managers, and administrators of subscribing organizations ("Employers"). By using the App, you agree to the practices described here.

2 Who We Are

Terra Industries LLC provides fleet management, field operations, and agricultural data services to agricultural businesses and their employees.

3 Data We Collect

The table below describes every category of data TerraTracs collects. All data is collected solely to provide the service to your Employer.

Data Category What We Collect & Why
Identity & Account First name, last name, email address, hashed password, role (admin/member), account creation timestamp. Used to authenticate users and manage access.
Employment & Payroll Hourly wage, pay rate history, shift schedule (start time, end time, working days), gross pay calculations. Used by employers for payroll processing and scheduling.
Time & Attendance Clock-in/clock-out timestamps, total hours worked, break periods, clock source (manual vs. GPS), linked assignment and vehicle. Used for attendance tracking and labor reporting.
Precise Location (Work Hours Only) GPS latitude/longitude at clock-in and clock-out events, location accuracy, and geofenced area entry/exit events. Captured only during scheduled work hours.
Vehicle & Fleet Vehicle name, VIN, license plate, make, model, year, GPS coordinates, odometer miles, engine hours, fuel level, engine on/off status, tracking events. Used for fleet management and maintenance scheduling.
Vehicle Usage & Routes GPS breadcrumb route history, odometer readings, engine hours, vehicle speed (derived). Used to generate route reports and vehicle usage analytics.
Vehicle Maintenance Maintenance rules (mile/hour/day intervals), maintenance history, installed parts, pre-operation and maintenance checklist results. Used for preventive maintenance scheduling.
Farm Block & Land Data Block name, type, geographic boundary (polygon coordinates), acreage, crop name and variety, soil type, irrigation type, activity history. Used to manage field operations.
Agricultural Production Commodity, grade, quantity, harvest date, sale price, buyer, shipping cost, inventory location. Used for production tracking and financial reporting.
Financial Records Block costs (consumables, parts, services, compliance) and block income (crop sales, subsidies, rentals) including vendor, amounts, and dates. Used for operational cost and revenue tracking.
Assets & Equipment Asset name, type, serial number, manufacturer, model, year, GPS coordinates, ranch association. Used for equipment inventory and location tracking.
Orders & Parts Inventory Purchase orders (vendor, order number, cost, status, account charged) and parts inventory (SKU, manufacturer, cost, replacement schedule). Used for supply chain and parts management.
Work Assignments Assigned user, vehicle, block, task name, from/to location, assigned date. Used to dispatch and track field work.
Terms Acceptance Version of terms accepted, acceptance timestamp, IP address at time of acceptance. Used for legal compliance and consent tracking.
Organization Settings Organization name, timezone, subscription tier, default break policy. Used to configure the platform for your organization.
Third-Party Equipment Integrations OAuth access and refresh tokens for John Deere Operations Center and Case IH connections. Stored securely and used only to retrieve machine data on your behalf.
Security & Session Hashed passwords (never plain text), password reset tokens (hashed, time-limited), refresh tokens for session management, IP address at terms acceptance. Used to secure accounts and manage sessions.

4 How We Use Your Data

We use the data described above exclusively for App Functionality:

  • Authenticating users and managing secure access to organizational accounts
  • Enabling core platform features: fleet tracking, field operations management, time and attendance, maintenance scheduling, and production reporting
  • Calculating derived data such as total hours worked, gross pay, and vehicle odometer readings
  • Displaying operational data within the App to authorized users
  • Verifying employee work location at clock-in and clock-out via GPS, in compliance with California AB-984
  • Generating reports on fleet usage, labor hours, field activity, and agricultural production
  • Ensuring platform security, preventing unauthorized access, and maintaining service uptime
  • Tracking terms of service acceptance for legal compliance

We do not use your data for advertising, marketing communications, behavioral profiling, or any purpose not directly related to operating TerraTracs for your Employer.

5 GPS and Location Tracking

TerraTracs collects GPS location data for the following specific purposes, all within your scheduled work hours:

  • Clock-in and clock-out location verification
  • Vehicle position tracking during active work shifts
  • Geofence detection to log when vehicles enter or exit designated farm blocks
  • Asset location display on the operational map

In compliance with California Assembly Bill 984 (AB-984) and California Penal Code Section 637.7:

  • GPS tracking of vehicles occurs only during your scheduled work hours
  • Tracking automatically stops at the end of your shift
  • You have the right to disable or unplug the GPS tracking device outside of scheduled work hours
  • Your Employer cannot retaliate against you for disabling tracking outside of work hours

We do not use location data for advertising targeting, and we do not share location data with any third party.

6 Financial and Payroll Data

TerraTracs stores hourly wage and pay rate information solely to calculate gross pay within the platform's time and attendance module. This data is:

  • Visible only to authorized administrators and managers within your organization
  • Immutable once recorded in a time log entry — the wage at time of clock-in is locked to prevent retroactive modification
  • Never shared with payroll processors, financial institutions, or any external party

7 Third-Party Equipment Integrations

TerraTracs supports optional integrations with John Deere Operations Center and Case IH equipment platforms. When your organization connects these integrations:

  • OAuth access and refresh tokens are stored securely in our database
  • Tokens are used solely to retrieve machine telemetry data on your organization's behalf
  • We do not share any TerraTracs user data with John Deere, Case IH, or any other equipment manufacturer
  • Connection tokens can be revoked by your organization administrator at any time

These integrations are entirely optional and must be explicitly authorized by an organization administrator.

8 Who Can Access Your Data

Access to your data within TerraTracs is strictly controlled by role:

  • Your Employer's authorized administrators and fleet managers — full access to organizational data
  • Your Employer's supervisors — access limited to assigned teams and vehicles
  • You (as an employee/member) — access to your own time logs, assignments, and profile
  • Terra Industries LLC operations staff — limited to what is necessary to maintain and support the platform
  • Law enforcement or regulatory authorities — only if required by applicable law

There are no advertising networks, data brokers, or analytics platforms with access to TerraTracs data.

9 Data Security

  • Passwords are stored as cryptographic hashes using pgcrypto — plain-text passwords are never stored
  • Password reset tokens are hashed and time-limited
  • All data transmission between the App and our servers uses HTTPS/TLS encryption
  • OAuth tokens for third-party integrations are stored with restricted database access
  • Role-based access controls limit what each user can view and modify
  • Database access is restricted to authorized personnel only

While we apply industry-standard security practices, no system can guarantee absolute security. We encourage you to use a strong, unique password and to notify your administrator immediately if you believe your account has been compromised.

10 Data Retention

Your data is retained for as long as your Employer maintains an active subscription with TerraTracs, or as required by applicable law:

  • Time logs, route data, and location records: retained for the duration of your Employer's active subscription
  • Soft-deleted user accounts: the user record is flagged but retained for audit and payroll continuity
  • Password reset tokens: automatically expire after a short time window
  • Refresh tokens: expire on a rolling basis and are invalidated upon logout

Upon termination of your Employer's subscription, data is retained for a reasonable period to allow for data export and then permanently deleted, unless a longer retention period is required by law.

11 Your Rights

  • View — access your own profile, time logs, and GPS records through the App
  • Correct — request correction of inaccurate personal data
  • Delete — request deletion of your personal data, subject to your Employer's legal retention obligations
  • Copy — request a copy of your personal data in a portable format
  • Opt out of GPS tracking — disconnect the GPS device outside of work hours without retaliation, per California AB-984
  • Complain — file a complaint with the California Labor Commissioner if you believe your tracking rights have been violated

12 California Privacy Rights

TerraTracs operates in compliance with applicable California privacy law, including:

  • California Assembly Bill 984 (AB-984) — governing GPS tracking of employees in employer-owned vehicles
  • California Penal Code Section 637.7 — prohibiting unauthorized vehicle tracking

As TerraTracs does not sell personal information, the CCPA right to opt out of sale does not apply. For all other CCPA rights (access, deletion, non-discrimination), contact us at [email protected].

13 Children's Privacy

TerraTracs is a professional platform intended solely for use by adults in a workplace context. We do not knowingly collect personal information from individuals under the age of 18. If you believe a minor has been registered as a user, please contact us immediately at [email protected].

14 Changes to This Policy

We may update this Privacy Policy from time to time. When we do:

  • The "Last Updated" date at the top of this page will be revised
  • Users will be notified through the App and required to acknowledge the updated policy before continuing use
  • Continued use of the App after acknowledgment constitutes acceptance of the revised policy
